Problem: Multiple Application Processes Across Ten Campuses
Arizona’s Maricopa Community College District (MCCD) is made up of ten separately accredited community colleges. Before implementing AcademicWorks, each district campus had its own process for collecting scholarship applications and making awards. Some campuses utilized a homegrown system while others collected paper applications and manually matched students to scholarship opportunities. Because of high transfer rates among the district campuses, it was difficult to advise students on the most efficient manner to apply for scholarships. The result was low application rates across all campuses. “Sometimes we would have the same couple of students win all the scholarships at a campus because they were the only ones to apply,” said Lauren Shellenbarger, Vice President of Systems and Processes.
AcademicWorks Unites the Processes
MCCD chose AcademicWorks to increase accessibility to scholarships by creating a single scholarship resource across all campuses. With AcademicWorks, all ten campuses now use one common platform to manage scholarship opportunities. With authentication integration, students can seamlessly log in using campus-issued credentials and apply for scholarships. A single scholarship application allows students from across the district to apply for all eligible scholarships. Students are automatically matched to relevant scholarships using these applications and a nightly import of student data. Eligible students are also referred to scholarship opportunities that require supplemental information during the application process.
More Student Applications, Easier Administration
Scholarship administrators at each campus have the flexibility to manage awards using their unique process, including reviewing and awarding. “Our scholarship administrators love the communication tools provided by AcademicWorks,” said Shellenbarger. “For example, it is extremely easy to identify applicants who have not fully completed an application and reach out to them before the application close date.”
“We definitely feel that we have succeeded in increasing accessibility to scholarships across the district,” exclaimed Shellenbarger. Increased accessibility has led to a larger and more diverse pool of applicants. “While we are still collecting applications for our current cycle, we already have 26% more applications than we had at this point last year,” said Shellenbarger. “AcademicWorks makes the scholarship process easier for everyone from applicants to reviewers. Even with an increase in total applications, the review and awarding processes are completed faster than before.”
